Workspace & Teams

A workspace holds everything your team shares: slugs, boards, folders, and members. Covers roles, invitations, folders, collections, and audit logs.

Roles & permissions

Every workspace member has exactly one role. Roles are cumulative — higher roles include all permissions of lower ones.

OwnerEverything. Transfer or delete the workspace. Manage billing. There is always exactly one owner per workspace.
AdminManage members (invite, change roles, remove). Edit workspace settings. Create and delete folders and collections. Access audit logs.
MemberCreate, edit, and delete their own slugs and boards. View and use all workspace slugs. Invite guests to boards they own.
GuestView slugs and boards they have been explicitly invited to. Cannot create or edit anything. Does not consume a paid seat.
Note
Guests are free on all plans. They can view any board or slug collection you share with them, but they cannot access the workspace sidebar or discover other content.

Changing a member's role

Owners and Admins can change roles from Settings > Members. Click the role badge next to a member's name and select the new role. Changes take effect immediately.

Warning
Demoting an Admin to Member removes their access to audit logs and member management immediately.

Inviting members

Email invitations

  1. Go to Settings > Members and click Invite people.
  2. Enter one or more work email addresses (comma-separated). Choose the role for the invite batch.
  3. Click Send invites. Each person receives an email with a one-time link valid for 7 days.
  4. When they accept, they are added to the workspace with the assigned role. You'll see them move from Pending to Active in the Members list.

Invite links

Instead of per-email invites, you can generate a workspace invite link from Settings > Members > Invite link. Anyone who opens the link is added as a Member (or whichever role you select). Rotate or revoke the link at any time.

Heads up
Be careful sharing invite links in public channels. Anyone with the link can join your workspace. Prefer email invites for sensitive workspaces.

SCIM provisioning (Enterprise)

Enterprise plans support SCIM 2.0 via Okta, Azure AD, and JumpCloud. Once configured, members are created, updated, and deprovisioned automatically as you manage them in your identity provider. See the Enterprise & SSO guide for setup instructions.

Folders & collections

Folders

Folders are hierarchical containers for organizing slugs. They appear in the workspace sidebar and are shared with all Members and Admins.

  • Create a folder from the sidebar — click the + next to “Folders” or right-click an existing folder to create a sub-folder.
  • Drag slugs from the main list into a folder, or set the folder when creating a new slug.
  • Folders do not affect slug keywords. A slug in Engineering / Infra is still accessed as b/its-keyword.

Collections

Collections are curated, shareable groups of slugs — more like a playlist than a folder. They are useful for:

  • Onboarding packs — “10 links every new hire needs on day one”
  • Project bundles — all the URLs for a specific launch, campaign, or sprint
  • Client handoffs — a set of links you share with a client guest

Share a collection as a read-only link. The recipient sees a clean list of slugs they can open — no BookSlash account required.

Tags

Tags are free-form labels attached to individual slugs. Unlike folders, a slug can have multiple tags. Use the tag filter in the sidebar to narrow slugs across all folders at once. Example tags: onboarding, api-docs, q3-launch.

Audit logs

Audit logs record every significant action in the workspace: who created a slug, who changed a role, who shared a board publicly, and when.

Accessing audit logs

Owners and Admins can view audit logs at Settings > Audit log. Filter by event type, member, or date range. Export the current view with the Export CSV button.

Logged event types

  • Slug created, updated, deleted
  • Board created, shared publicly, visibility changed
  • Member invited, role changed, removed
  • Workspace settings changed
  • Custom domain verified or removed
  • SSO / SCIM configuration changes
  • Billing plan changed

Multiple workspaces

Free plans include one workspace. Pro and Enterprise plans include unlimited workspaces. Use multiple workspaces to separate teams, clients, or environments (e.g. “Engineering” and “Marketing”).

Switch between workspaces from the workspace switcher in the top-left corner of the app, or from the extension's command palette.

Transfer & delete

Transferring ownership

Go to Settings > General > Transfer workspace. Enter the email of the new owner (must already be an Admin). The transfer is immediate — you become an Admin.

Deleting a workspace

Go to Settings > General > Delete workspace. Type the workspace name to confirm. Deletion is permanent and immediate — all slugs, boards, and audit logs are removed. Export your data first from Settings > Data export.

Heads up
Deleting a workspace cannot be undone. Download an export before proceeding.
